Careers Privacy Notice

Scope
This Privacy Notice (“Notice”) sets out how ASM uses personal data of job applicants, candidates and visitors to our Careers website (“Website”). The Notice applies when you browse our Website, when you make an application for a role at ASM or when you otherwise interact with us in relation to our recruitment initiatives. This Notice, unless noted otherwise, does not form part of any contract or employment, where applicable, offered to successful hires.
For purposes of this Notice, "personal data" means any information through which we can identify an individual, as further described below under paragraph “The Personal Data We Collect”.
This Notice is maintained by ASM International N.V. on behalf of itself and recruiting affiliates in the ASM group of companies (“ASM”, “we”, “us” or “our”). For a complete list of affiliates please refer to this link. The entity responsible for your personal data will either be ASM International N.V. of the ASM company with whom you are applying for a role.
For the purposes of applicable European data protection legislation, ASM International N.V., Versterkerstraat 8, 1322 AP, Almere, The Netherlands is the representative company for non-EU ASM entities and serves as point of contact for European data subjects and Data Protection Authorities.
The personal data we collect
When you visit our Website (including when you log in to the Website, subscribe to job alerts or join ASM’s Talent Community) ASM may collect information about your use of our Website that will help ASM improve its online services or collect information necessary to provide you with the requested service. We will also collect information when you communicate with us. In particular, we may collect:

Profile information:if you choose to create a profile on the Website we will collect the information on the profile (included below under “applicants”), your log-in credentials (inc. email and password), preferred language, the creation date of the profile, which talent communities you have joined;

Contact information:your name(s), email address, and other contact details you give us when you make a request or otherwise contact us;

Job alerts and subscriptions:If you subscribe to receive job alerts from ASM, participate in a talent community, or opt-in to marketing communications we will record your preferences;

Communication information:
IfIf you choose to post messages in message areas, interact with our chatbot or otherwise provide feedback or send an email to us, we may keep a record of that posting or correspondence. Information you disclose in a public message area will naturally be available to and shared with other users of our Website; -
Recruiting platform profiles:If you log into this Website through a job board or other recruitment platform we may receive information about you from that platform (for example, your LinkedIn profile if choose to apply to a job application via a LinkedIn profile;

Usage information:information about how you use the Website and related services including the pages you access on our sites and the site that referred you to the Website, and which jobs are viewed and/or clicked; and

Device and browser information:technical information about how you access our Website including the name of your Internet Service Provider, what browser you are using, and your IP address.
Applicants
When you upload information into your profile or otherwise start an application process with ASM we will collect personal data to assist with the recruitment process. In particular, we may collect:
- Application information: contact numbers, location, address, skills, social profiles, education information (degree, field of study, school name, education start and end dates etc.), experience (previous roles, company name, job title, job location, experience start and end dates etc.), references, copies of CVs or other relevant documents or any other information that you provide to us during the course of the recruitment process;
- Role information and job preferences: the role(s) viewed, the role(s) applied for, the location of the role, the date the application was made, and preferred location and job category;
- Recruitment status: hiring status, date associated;
- Interview notes: notes taken during the recruitment process;
- Assessment results: if you undertake a candidate assessment, we will collect the results of that assessment; and
- Video and Recordings: when you enter our buildings or premises, you may be recorded by our on-site video surveillance systems (CCTV).
- Background checks: when strictly necessary for the role applied and only in accordance with local laws, we may collect information as necessary to conduct background checks, including any criminal background checks, etc.
Hiring Events
If you register or attend a recruitment event hosted by ASM or where ASM is present we may collect personal data including contact information (such as your name, email address and or telephone number) and job information (such as your education or current job role).
How do we collect personal data
The majority of personal data that ASM collects will be provided directly by you during the application and recruitment process. Further information will be generated as you go through the recruitment process (for example assessment rules and interview notes). In some cases we may obtain personal data from third parties, for example when your application is made through a third party platform or a recruitment agency.
Our purpose and legal bases for using your personal data
Following completion of your candidate profile, the information that you have uploaded onto your profile will be made available to ASM’s HR teams for the purposes described below.
We only use personal data as necessary for specific purposes. In addition, certain laws require us to set out our legal basis for processing personal data. Both our purposes and our legal basis are as set out in the table below:

Sharing personal data

Where required by law or to protect our rights:where permitted or obliged by applicable law ASM may share personal data to investigate or prevent illegal activities, suspected fraud, violations of our terms and conditions, or threats to the property or safety of our personnel or to protect our legal rights or defend legal claims. We also share personal data to comply with binding requests from other law enforcement authorities.

As part of a corporate transaction:Further, if an ASM business unit is sold or transferred as part of a corporate transaction it may be necessary to disclose personal data to a purchasing entity including during due diligence conducted prior to such event (where permitted by applicable law).
We may share aggregate or anonymous information with third parties for research, marketing, analytics and other purposes, provided such information does not identify a particular individual.
International transfers of personal data
ASM is a global enterprise and there may be instances where ASM may need to transfer and process personal data in countries other than your country of residence. These countries may have data protection laws that are different to the laws of your country, and in some cases, may not be as protective. ASM assesses these transfers and takes measures to ensure that appropriate safeguards (including, where necessary, implementing additional contractual, technical and organizational measures) are in place to ensure that personal data is afforded a level of protection which is essentially equivalent.
With respect to the intra-group transfers of personal data, ASM has in place an intra-group data transfer agreement in accordance with applicable laws, which provides for measures to ensure an adequate protection of personal data.

How we protect personal data
ASM uses industry standard efforts to safeguard the confidentiality of personal data. We have taken technical, physical and organizational measures to protect data from loss, theft, misuse, unauthorized access, disclosure, alteration, copying, accidental or unlawful destruction and any other unlawful forms of use.
ASM personnel and authorized third parties have access to data on a need-to-know basis and only as strictly necessary for the purposes described above. This means that HR staff may have access to your personal data when you apply for a role and a selection team may have access to your personal data if you have been shortlisted for a vacancy.
Our data retention standards
ASM stores personal data for as long as it is necessary to fulfill the purposes it was collected for, unless there is a legal, accounting or reporting requirement to retain the personal data for a longer period (in which case we will store it for as long as required to fulfill such legal, accounting or reporting requirement).
We retain your profile information for the duration of your profile being active. If you make an application, your application data will remain stored in our databases until the earlier of either you deleting your candidate profile, or in accordance with local requirements and in any case no longer than 6 months following the end of the recruitment process (36 months if you reside in the United States of America).
If your application is successful, we will retain some personal data to be included in your employment file. The retention of this personal data is covered by ASM’s Employee Privacy Notice.
Your rights
ASM is committed to transparently processing your data. Depending upon your jurisdiction and subject to applicable local laws, you have several rights in relation to personal data processed by ASM. For example, you may have the right to (subject to limitations) to (i) request access to your personal data or for information about how it is processed, (ii) request rectification/correction, restriction or erasure of such personal data; and (iii) request that the personal data is transmitted to another data controller. Under certain conditions, you may also object to the processing of your personal data or restrict the processing or deregister your account on the ASM portal.
In the event the personal data are processed on the basis of your consent, you can withdraw consent at any time by contacting us at the email address below. Please note that a withdrawal of consent does not affect the lawfulness of any processing which has taken place before the consent was withdrawn.You may delete your profile voluntarily at any time.

When you make a request we may ask you to provide your email and complete an email verification step in order to confirm your identity. We will respond to your request consistent with applicable law and in any event respond to your request as soon as reasonably practicable. Please note that we may need to retain certain personal data for recordkeeping purposes and/or to complete any transactions that you began prior to requesting a change or deletion.
For residents of the European Economic Area, you also have the right to lodge a complaint with the Data Protection Supervisory Authority established in your country of residence or where you believe your rights have been infringed.
